BEFORE YOU HIRE ANYONE
Choose an AI consultant who starts with your business problem instead of a tool, tells you when you don't need AI, and leaves you owning what they build. LevelNex AI works that way with small businesses, starting with a free 15-minute assessment.
The AI consulting market filled up fast, and from the outside most firms sound the same. These six questions sort them out quickly. Use them on anyone, including us.
WHAT TO LOOK FOR
A good AI consultant asks how your week runs before naming any software. The first conversation should be about where the hours go, where customers wait, and what keeps falling through the cracks.
If the pitch opens with a product, the answer was decided before your problem was heard. That is how businesses end up paying for tools nobody opens.
Some problems are better solved by fixing a process, changing a form, or buying a simpler tool. A consultant worth hiring says so, even when it means less work for them.
Ask directly: "What would you tell me not to buy?" If they can't name anything, you are talking to a salesperson.
You should understand what is being built, what it will do, and what it costs to run, without a glossary. Jargon is often where a weak plan hides.
A simple test: after the first call, can you explain their recommendation to someone on your team in two sentences? If not, ask again before you sign.
Slide decks and demos are easy to make. Working systems that people use every day are harder. Ask to see something live, not a mock-up.
Ask for references from businesses like yours, and call them. A newer consultant will have fewer clients to point to, so ask what they have built and run themselves, and judge that on its merits.
Ask what you keep if you walk away: the workflows, the accounts, the data, and the documentation. You should be able to leave and still have a working system.
AI systems also need upkeep. Models change and integrations update, so ask who notices when something stops working and how fast it gets fixed.
An AI system often touches customer records, calls, and messages. Ask where that data will live, who can see it, and whether it is used to train anyone's AI models.
Get the answer in writing, and check that it fits any privacy rules your industry already follows.
| What to look for | Why it matters | How to check |
|---|---|---|
| They start with your business problem, not a tool | A tool-first pitch was decided before your problem was heard | Notice whether the first call is about your week or about their product |
| They tell you when you don't need AI | Some problems are cheaper to fix with a process change or a simpler tool | Ask "What would you tell me not to buy?" and listen for a real answer |
| Plain-English explanations | You can't judge a plan you don't understand | Try to explain their recommendation to a colleague in two sentences |
| Work they have shipped | Demos are easy; working systems are not | Ask to see something live and call a reference |
| You own what they build | Leaving should not mean losing a working system | Ask what you keep if you walk away, and who fixes it when it breaks |
| Clear data handling | AI systems touch customer records and conversations | Ask where your data lives, who sees it, and whether it trains models, in writing |
LevelNex AI is an AI consulting and automation practice in Midlothian, Virginia, founded in 2025. We work with small and medium businesses across Richmond and Central Virginia, and remotely beyond.
We start with a free 15-minute assessment about how your business runs, and nothing gets prescribed on the call. Within two business days we come back with one recommendation, and if the answer is that you don't need AI yet, we say so.
You own what we build. Your data stays in your systems, and we don't train models on it.
The shipped work we can point to is our own: StudySpell and OpenHouseHQ, two products we built and run, both on our Apps page. Hold us to every question on this page.
